Alramz Zoho Marketing Platform - Proposal


Introduction

Alramz needs a unified marketing and social media stack that consolidates campaigns, email, social channels, lead capture, and analytics on top of Zoho, integrated with the existing Zoho CRM.

This proposal responds to the Alramz BRD (v1.0, 18/05/2026). Where the BRD is clear, we confirm delivery. Where a single line implies multi-month engineering (full multi-channel social automation across six platforms, native mobile apps, deep custom analytics, full webinar platform build), we name the limit honestly and propose a lean Phase 1 that lands the foundation cleanly inside the USD 2,000 budget so future phases sit on a correct base.

Scope of Work

Each subsection below mirrors a section of the BRD. Tables hold the mechanical checklist. Where a BRD line implies a much larger build, the load-bearing decisions are pulled into short prose paragraphs labelled Scope boundary so they are not hidden inside a checklist row.

3.1 Campaign Management (BRD 3.1)

Scope boundary - TikTok and Snapchat. Zoho Social's native support for TikTok and Snapchat publishing/inbox is limited compared to X, LinkedIn, Instagram, and YouTube. Forcing full parity across all six channels in Phase 1 would require third-party connectors and custom middleware that do not fit USD 2,000. Phase 1 delivers the four channels Zoho supports cleanly; TikTok and Snapchat are handled through their native apps with results imported manually into reporting until a Phase 2 integration is scoped.

3.4 Marketing Automation (BRD 3.4)

Scope boundary - automation depth. "Automate repetitive marketing tasks" can mean 5 journeys or 50. Phase 1 ships up to 5 fully specified workflows with triggers, conditions, fallback branches, and stakeholder notifications documented. Additional workflows are billed at the post-warranty rate-card in Section 6.3.

3.5 Lead Management & Segmentation (BRD 3.5)

    Zoho Forms (up to 5), Zoho LandingPage (up to 3), Zoho SalesIQ chatbot (1 flow)

  2. Webinar and event capture

    Lead intake form + CRM tagging; webinar platform itself out of scope (see boundary)

    Defined in discovery; standard Zoho CRM scoring + assignment rules configured

Scope boundary - webinar platform. Hosting webinars themselves (Zoho Webinar / Zoho Meeting licensing, streaming infrastructure, recording storage) is a separate licensed product cost paid by Alramz. We wire the lead-capture and follow-up automation around webinars; the webinar product license and stream delivery are not in the USD 2,000.

3.6 Web & Conversational Marketing (BRD 3.6)

Scope boundary - custom analytics. A bespoke cross-channel BI dashboard (Zoho Analytics with custom data models, blended sources, custom visualisations) is a separate engagement. Phase 1 uses the out-of-the-box Zoho Marketing Plus dashboard plus 3 scheduled standard reports. Custom Zoho Analytics builds are quoted on the rate-card.

3.8 Team Collaboration & Access Control (BRD 3.8, 4)

    Native to Zoho platform; no custom infra to scale

  3. Mobile access

    Responsive Zoho web apps + official Zoho Social, Campaigns, CRM mobile apps

  4. Security & privacy

    Zoho's SOC 2 / ISO 27001 posture; role-based access; data residency per Alramz Zoho tenant region

Scope boundary - native mobile app. "Mobile access" is delivered via Zoho's existing iOS/Android apps (Zoho Social, Campaigns, CRM). A custom-branded Alramz mobile app is a separate engineering project and not included.

3.10 Zoho CRM Integration (BRD 4)

Stack. This proposal is built on Zoho Marketing Plus + Zoho CRM + Zoho SalesIQ. We do not introduce third-party marketing tools, because the BRD is Zoho-anchored and the budget only fits a clean native Zoho implementation.

All work is billed on a transparent hourly rate of USD 25/hour for senior engineering time. The line-by-line table shows exactly where the engineering hours go; the goodwill discount is a single line at the bottom so the committed price stays USD 2,000.

Zoho product licenses (Marketing Plus, CRM, SalesIQ, Webinar, LandingPage seats), TikTok and Snapchat full integration, custom Zoho Analytics BI dashboards, custom-branded mobile app, webinar streaming/hosting fees, automation workflows beyond 5, segments beyond 8, paid social ad spend, content production (copy, design, video). Each is quoted on the rate-card.

Third-party costs are paid directly by Alramz - all Zoho product licenses, webinar licenses, paid ad spend, premium fonts, stock media. We do not mark these up. We supply a one-page itemised license list at the start of Phase 1 so procurement can purchase in one go.

Payment terms. Payments via Wise in USD: 50% upfront on signature, 50% within 7 days of final delivery. No additional TAX/VAT charged by Riseup Asia; Alramz accounts for KSA 15% VAT separately if applicable.

Before We Start

A short list of decisions needed from Alramz so Phase 1 can begin cleanly:


  1. Zoho licenses.

    Confirmation that Alramz holds (or will purchase) Zoho Marketing Plus, Zoho CRM, and Zoho SalesIQ seats for the marketing team.

  2. Channel priority confirmation.

    Confirmation of the 4 channels in Phase 1 (X, LinkedIn, Instagram, YouTube) and acknowledgement that TikTok/Snapchat are Phase 2.

  3. Sending domain.

    Domain to use for email campaigns + DNS access for SPF/DKIM/DMARC.

  4. Lead lifecycle.

    Final scoring thresholds, routing rules, and ownership rules from the marketing & sales heads.

  5. Approval workflow owners.

    Names of Manager-level approvers for campaigns and social posts.

  6. Brand assets.

    Logo files, brand colours, fonts, and 1-2 sample campaigns for template direction.

Next Steps

On signature, we open a shared Discovery doc within 48 hours and lock channels, automations, segments, roles, and approval owners in week 1 so build starts clean.

Success criteria (BRD 7)

We track two outcomes against the BRD's success criteria: (1) higher engagement on social posts - measured via the Zoho Social standard engagement metrics on the 4 Phase-1 channels, and (2) actionable insights - delivered through the unified Marketing Plus dashboard plus the 3 scheduled reports configured in Section 3.7.
